Real workflows, in plain terms.

We don't name customers. These are the kinds of work Exlify runs, described in general terms, so you can judge whether your workflow looks like one of them.

In short

Exlify case studies describe anonymized use cases across licensing, brand management, partnership marketing, insurance and accounts payable. Each one covers the situation, what Exlify does, and what changes for the team. None names a customer or quotes a figure.

Licensing

Licensee sales reports, in one consistent format

Explore Licensing →

The situation

A licensor collects sales reports from many licensees every period. Each licensee reports in a different layout, as a spreadsheet, a PDF or a scanned page. Staff retype the numbers, chase missing lines, and find problems only when they reconcile.

What Exlify does

Licensees submit through a secure portal. Each licensee's columns are mapped once, then read the same way every period. Validation rules flag missing lines and unusual totals, and a person reviews the exceptions before any data is accepted.

What changes for the team

The licensor works from one validated dataset instead of a stack of files. Problems surface when a report is submitted, not at the end of the quarter. Approved figures can be sent on to other systems through APIs.

Licensing

Product sample review without the email threads

Explore Licensing →

The situation

Licensees send product samples, photos and specs to the brand team by email. Feedback is scattered across threads, and nobody is sure which version was approved.

What Exlify does

Licensees submit samples with photos, specs and versions in a portal. Reviewers comment, request changes and approve in the same place.

What changes for the team

Every submission has a status and an owner. Reviewers see the full history of a sample, and every decision is on record.

Brand Management

One trusted home for brand assets

Explore Brand Management →

The situation

A brand shared across many teams, agencies and licensees has its logos and guidelines spread over shared drives and inboxes. Partners end up using out-of-date files, and nobody can say who downloaded what.

What Exlify does

A Brand Hub holds the current assets, with permissions set per folder or file, version history, and view and download tracking. Guidelines and campaign pages are published from the same platform, and creative requests go through a form and an approval workflow.

What changes for the team

Partners work from the current version. The brand team decides who sees what, and can see who used it.

Partnership Marketing

Sponsor and partner requests with a clear path to approval

Explore Partnership Marketing →

The situation

A marketing team runs a program with many sponsors and agencies. Activation and creative requests arrive by email, reviewers are chosen ad hoc, and the status of each request lives in someone's head.

What Exlify does

Partners sign in to a branded portal, protected by authenticator-app MFA, and submit requests through forms the team designs. Routing rules send each request to the right reviewers, and partners draw approved assets from the Brand Hub.

What changes for the team

Each request has a status, an owner and a history. A change request does not restart the process, and the team keeps a full audit trail.

Insurance

Triaging shared insurance inboxes and claim documents

Explore Insurance →

The situation

An insurance operation receives claims, quote requests and renewals in shared mailboxes. People read each email and attachment, work out what it is, and retype the details into policy and claims systems.

What Exlify does

Exlify reads the emails and attachments, classifies each request and routes it by rules the team defines. Claim documents are extracted without templates, validated against reference data and posted to downstream systems. Exceptions go to a person.

What changes for the team

People spend their time on exceptions and judgment calls. Values resolved by an agent come with written reasoning, and the existing systems stay where they are.

AP Automation

Invoices from inbox to ERP

Explore AP Automation →

The situation

An AP team receives invoices by email as PDFs and images from vendors that all use different layouts. Staff key the data, look up the vendor, choose the GL coding and chase approvals.

What Exlify does

Exlify extracts each invoice without templates, matches the vendor by fuzzy matching against the vendor list, and proposes coding with a written reason for each value. Approvals route by configured rules, and approved invoices post to the ERP.

What changes for the team

A new vendor does not need a new template. Approvers can read why each value was coded the way it was, and low-confidence matches go to a person rather than being guessed.

Frequently asked questions

Can you name the customers in these case studies?

Not on this site. Exlify does not name customers publicly without their permission, so each case is described in general terms and quotes no figures.

Are these real workflows?

Cases marked In production describe workflows Exlify runs today. Cases marked With design partners are being built with early customers. Details are generalized in every case.

What if my workflow is not listed here?

It may still fit. The same forms, extraction and workflow engine sit behind all of these cases. Bring a real workflow to a demo and we will show how it would run on your documents.

Does your workflow look like one of these?

Bring a real one. We will show you how it would run on your documents, in a working demo.
